This Privacy Policy outlines how Harmonia Prime (“we,” “us,” or “our”) collects, uses, stores, and protects your personal information in connection with your access and use of the Harmonia Prime Website, Citizen Portal (portal.harmoniaprime.org), the Harmonia Prime IRC Network, and all other associated services and systems (“the Services”). By accessing, creating an account, or interacting with our systems, you acknowledge and agree to the practices described in this Privacy Policy.

1. Information We Collect

We collect information necessary to provide, maintain, and improve our Services, ensure system integrity, and prevent unharmonious conduct. This includes:

• Account Information: Upon registration, you are required to provide your email address and a chosen name/nickname. This information is essential for account creation and identification within the Harmonia Prime system.
• Interaction Data:
  • Harmonization Unit (HU) Clicks: We store IP addresses and timestamps associated with various actions, particularly the clicks on Harmonization Links. This data is crucial for validating HU accumulation, preventing abuse (e.g., from bots, scripts, proxies, VPNs, or fake IPs), and ensuring the integrity of the Harmonization Protocols.
  • IRC Interactions: When you interact with the Harmonia Prime IRC Network:
    • We store messages exchanged in public channels, private channels, and private messages. This is necessary for system functionality, moderation, and to facilitate the unfolding narrative.
    • Please be aware that other users operating their own bots or clients may log your interactions, including messages, in both public and private channels, beyond our control.
    • If you need to discuss confidential information, we strongly advise using random private channels protected by keys/invites only, or direct private messages, and always exercise caution regarding the information you share. You have the option to disable a channel’s history saving via ChanServ and your own saving of private messages via NickServ, where available.
  • Other Metadata: Various other metadata related to your interactions with the Services (e.g., device information, browser type, interaction patterns) may be stored in logs for purposes of system integrity, security, performance improvements, and to enhance your experience.

2. How We Use Your Information

Your information is used to:

• Provide, operate, and maintain the Services.
• Manage your account and provide you with access to features.
• Track and validate Harmonization Unit accumulation and contributions.
• Ensure the integrity and security of our systems and the unfolding narrative.
• Detect and prevent fraudulent, abusive, or unharmonious conduct.
• Monitor system performance and make improvements.
• Communicate with you regarding Service updates, security alerts, and important information.

3. Data Retention

We retain collected information for specific periods to ensure system integrity, security, and to comply with operational requirements:

• Server Logs (including IP addresses and timestamps of various actions): Held for a minimum of three (3) years.
• Click Information (related to HU accumulation): Held for a minimum of one (1) year.
• Account Information (email address, name/nickname): Held for a minimum of seven (7) years.
• IRC Messages: Stored by us and become inaccessible (deleted) after a period of thirty (30) days from the time of logging. This applies to messages in public channels, private channels, and private messages. Make a copy if you require longer logging time.

4. Your Rights Under GDPR

For individuals within the European Economic Area (EEA) and the UK, the General Data Protection Regulation (GDPR) grants you certain rights regarding your personal data. These include:

• Right to Access: You have the right to request copies of your personal data.
• Right to Rectification: You have the right to request that we correct any information you believe is inaccurate or incomplete.
• Right to Erasure (Right to be Forgotten): You have the right to request the erasure of your personal data under certain conditions.
• Right to Restrict Processing: You have the right to request that we restrict the processing of your personal data under certain conditions.
• Right to Object to Processing: You have the right to object to our processing of your personal data under certain conditions.
• Right to Data Portability: You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Important Note Regarding Account Deletion:
Due to the interconnected and evolving nature of our narrative, the integrity of our system, and the necessity to prevent abuse (including the re-creation of accounts to bypass restrictions or manipulate Harmonization Protocols), direct account deletion is not feasible within Harmonia Prime. While we are committed to upholding your rights under GDPR, the unique structure of our Services requires the preservation of interaction records. We can, upon request, anonymize or disassociate certain personal identifiers from your in-game persona where technically possible and where it does not compromise system integrity or the shared narrative. However, the record of your in-game activities and contributions (e.g., HU transactions, messages, participation in GPIs) must remain to ensure the consistency and fairness of the collective experience.

5. Sharing Your Information

We do not sell your personal data. We may share your information in the following circumstances:

• With Law Enforcement: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or subpoena).
• For Security and Integrity: To protect the rights, property, or safety of Harmonia Prime, our users, or others.
• Service Providers: We may share data with trusted third-party service providers who perform functions on our behalf (e.g., hosting, analytics, email delivery), strictly under confidentiality agreements.
